Dimence Groep is the parent foundation of eight sub foundations dedicated to the delivery of mental healthcare care and support services. With more than 2,800 employees and 1,500 volunteers handling sensitive patient information across the foundation, ensuring secure, compliant communications is a critical priority.

“Back in 2019, we knew we needed a solution that would enable our employees to send sensitive information securely. Outlook wasn’t meeting our compliance needs—especially with Dutch NTA 7516 regulations—and security wasn’t second nature for all our staff. It needed to be simple and intuitive.” 

Easy to use, compliance-ready secure communication

Following a thorough evaluation process, including solutions such as SmartLockr and ZorgMail, Dimence Groep selected Zivver for its ease of use and real-time security alerts. 

“Zivver stood out because of how user-friendly it is,” says Tim. “It guides our employees in the moment, helping them make secure decisions when sending emails. That kind of real-time support was a huge advantage.” 

Dimence Groep’s employees frequently exchange medical, financial, and legal data with clients via email. Zivver’s features, including recall functionality, secure file transfer, and seamless integration with Outlook, make it easy for teams to communicate securely without disrupting workflows. 

“The ability to recall messages is great,” says Tim. “We can revoke access to emails without time limits and can view whether the emails have been accessed or not.”

“Our clients aren’t always tech-savvy, so Zivver’s onboarding emails are helpful. When we send a secure email to someone’s Outlook or Gmail, they receive a clear explanation about Zivver and why we use it—it’s professional and reassuring.” 

Additionally, Zivver’s Conversation Starter functionality plays a critical role in maintaining compliance with NTA 7516. Dimence Groep has embedded secure links on its websites, enabling clients to initiate secure conversations with the organization. 

“We usually initiate secure conversations, allowing clients to reply within a secure environment. It’s a smooth process that protects both sides. But, with Zivver, we can also prove our compliance with the NTA by providing external parties with a way to initiate secure communicate with us.”

Streamlined integration and scalable security

Zivver integrates seamlessly with Dimence Groep’s Single Sign-On environment, making access simple for staff. The organization also leverages Zivver’s secure two-factor authentication (2FA) process for client communication. 

“Every week, we export client contact data which includes email addresses and mobile numbers from our database and import it into Zivver. When they receive secure emails from us, clients also receive a secure text message to their pre-approved mobile number to authenticate their identity. It’s a robust way to manage access to sensitive information.” 

The secure file transfer feature is another essential tool. 

“When clients request an export of their medical records, we use Zivver to share the data safely straight from the email environment. It’s straightforward for our teams and secure.”
